HOW TO DETERMINE THE MAXIMUM SIZE FOR YOUR CONFERENCE ROOM TABLE
To determine the size of a conference table for your meeting room, start with a list of the number of people you wish to seat in the room, the furniture that you want in the room, the dimensions of the room and of any built-in cabinets in it. The furniture required for a conference room are the meeting table and chairs to go around it. The optional furniture that you may want to include are a credenza, whiteboard cabinet, a cabinet, additional seating, and a large screen monitor. Following are the important design factors to consider
CLEARANCE AROUND THE TABLE
Along Sides of Table: Provide a 3’ minimum clearance around the each of the long sides of a modern conference table. This space is needed for chairs and for ingress and egress by people to and from their seats. See drawing A1
Around Ends of Table: Provide a 4’ minimum clearance around each end of the conference table. This space is needed for ingress and egress on all sides of the conference table. It is also for space needed for a speaker at the front of the table to talk at the meeting.
ADDITIONAL SPACE REQUIRED:
If a credenza or buffet is to be placed along a side or end wall, leave 2 feet of additional space plus space for people to stand in front of the credenza.
If additional space is needed at the front of the conference table for a speaker and/or table, add the appropriate space.
Add additional clearance for doorways and space for door to swing open without interfering with the people or furniture in the conference room.
If a whiteboard cabinet is added on one of the walls, allow ample space for the person in front of the whiteboard to stand and make a presentation.
If you would like additional seating along a wall in the room, provide at least 3 feet for the depth of chair and person seated in front of the wall.
ILLUSTRATIONS OF CONFERENCE ROOM TABLE DESIGNS:
See Drawing A1 – a Conference Room design with a 10’ long Los Angeles Conference Table and 8 chairs from jazzyexpo.com for dimensions of a design with a 19’ x 12’-6” executive meeting room. Notice there is 5’ allocated for a presentation area, 4’ for ingress/egress to the other side of the meeting table, 4 ft in front of the credenza, and 3 ft for passageway on the other side of the table. (The math is easier if you convert all measurements to inches before you begin.) The credenza is placed near the door for easy servicing of refreshments on it, and easy accessibility to the guests when they enter the conference room.
See Drawing B1 – a Conference Room design with a 16’ long Baltimore Boardroom Table containing a credenza and additional chairs placed along both side walls of the conference room. There is 5+ ft allocated for a presentation area, 6+ ft for ingress/egress to the other side of the meeting table, 4+ ft in front of the credenza, and 3 ft for passageway between the table chairs and wall chairs on each side of the room. The math is easier if you convert all measurements to inches before you begin. The credenza is near the door for easy accessibility to people entering the conference room.
See Drawing C1 – A meeting room design with a 10’ diameter Atlanta Round Conference Table from jazzyexpo.com. There is 3 ½’ minimum spacing around the table at its closest pint to the walls. The credenza is placed near the entry wall corner to take advantage of the open zone area of the wall thereby minimizing its interference with chairs, and provide a larger standing area for people in front of the credenza.
HOW TO DETERMINE THE NUMBER OF PEOPLE THAT CAN BE SEATED AT AN EXECUTIVE MEETING TABLE
To determine how many people your meeting table can accommodate, 1st determine the length of your conference table, and then the width of the chairs at the table, the spacing that you’d like between chairs, and how many people that you’d like seated at each end of the table.
Rectangular or Boat Shaped Conference Tables
Computing the number of people that may be seated at a Los Angeles 10’ long table with jazzyexpo’s Carolina Midback Conference Chair.
Typically chairs will vary from 22 to 30 in width. In the drawing above, the conference table is 10’ long. If you were to use a chair that is 26″ wide and allow 6” spacing between the chairs, then you would need 32” of table width to accommodate each person seated along the width of the table. For the 10’ table (120”), dividing 32” into 120” provides for 3.75 people. You have 2 choices to configure the seating, 3 or 4 people on each side of the table.
Choice 1: (see drawing A1) – Seating 3 people seated on each side of the 10’ table, would provide 40” per person (120” / 3). With a 26” wide chair, there would be 14” between chairs (40”-26”=14”), and 7” from each end of the table to the nearest chair.
Choice 2: Seating 4 (see Drawing A2) people on each side of the 10’ table provides 30” per person (120” / 4). With a 26” wide chair, there would be 4” between chairs (30”-26”=4”), and 2” from each end of the table. The total number of people seated with 4 people on each side and 1 at each end is 10 people (4+4+1+1)
Computing the number of people that may be seated at a 16’ Baltimore Conference Table using jazzyexpo’s with jazzyexpo’s Carolina Mid-back Conference Chair (25.5” wide) or Sacramento Mid-back Executive Conference chair 28” wide.

Choice 1 see drawing B2. Using the Sacramento chairs: Seating 6 people on each side results in 14 people total (6+6+1+1) being seated. Six Sacramento chairs on each side requires 168” of space (6 x 28”). Then there would be 24” remaining (192″ table length-168” for chairs) to be divided for space between the 6 chairs, or 4” between chairs.
Choice 2 Using the Sacramento Chairs: Seating 5 people on each side results in 12 people total (5+5+1+1) being seated. Five Sacramento chairs on each side needs 140” of space (5 x 28”). Then there would be 52” remaining (192” table length -140” total chair width) total for space between the 6 chairs, or 10.4” between chairs.
Choice 3 (see drawing B1) Using Carolina Chairs: Seating 6 people on each side results in 14 people total (6+6+1+1) being seated. Six Carolina chairs on each side would need 153” of space (6 x 25.5”). Then there is 39” (192″ table length-153” for chairs) to be divided for space between the 6 chairs, or 6.5” between each chair, and 3.25” at each end of the table.
ADVANTAGES OF A BOAT SHAPED CONFERENCE TABLE
A boat shaped meeting table provides these 3 advantages to a straight rectangular shaped conference table:
1. The curved sides of boat shaped tables with a slight radius provide a longer edge along the conference table than a straight edge.
2. The ends of the table are narrower than the center of the table for better ingress and egress of people around the conference table.
3. The boat shaped curve on the sides of the conference table make viewing of a person speaking easier for people seated on the same side of the table.
ADVANTAGES OF ROUND CONFERENCE TABLES
Round Conference Tables:
The seating circumference of a round table is its diameter x 3.14. A 10’ round meeting table has a 31.4’ (377”) circumference edge around the table. If you used chairs with a 26” width, and 5” spacing between chairs, the number of chairs that would fit is 377”/31” = 12 chairs.
A round executive conference table provides the advantage of easy viewing of all people seated at the conference table.
Designer Meeting Tables:
Birmingham Meeting Table:
The unique round hexagonal shape of this meeting table provides seating of 6 people along the 3 longer edges of the conference table. Three (3) additional people may also join the meeting and be seated on the 3 smaller sides of the table.
Phoenix Meeting Table:
This unique round triangular table is available in several sizes. The smaller sizes accommodate 1 person on each of the 3 sides for a total of 3 people. The larger sizes provide seating for 2 people along each of the 3 sides for a total of 6 people.
